How Fivante LLC collects, uses, and protects information when you use Fivante.

Last updated: September 18, 2026

Who we are

Fivante LLC (“Fivante,” “we,” “us”) provides a business-to-business software service that helps finance teams process invoices, vendor and customer records, and related accounting data. This policy explains what we collect and what we do with it.

Fivante is sold to organizations, not to consumers. In most cases your employer is the customer, controls the account, and decides what data is put into the service.

Information we collect

Account information. Name, work email address, organization name, and role, provided when an account is created or a user is invited.

Customer content. The documents and records you upload or connect, including invoices, receipts, expense reports, vendor and customer records, payment details, and data imported from your ERP or accounting system.

Usage and technical data. Log records of actions taken in the application, such as sign-ins, approvals, and edits, together with IP address, browser type, and timestamps. We keep an audit trail of changes to financial records because finance customers need one.

We do not use advertising trackers, and we do not set non-essential cookies. The cookies we set are those required to keep you signed in and to remember interface preferences within the application.

How we use information

We use information to:

  • Provide, operate, and secure the service.
  • Extract and structure data from documents you submit, including through automated and machine-learning processing.
  • Authenticate users and enforce the permissions your organization sets.
  • Maintain audit logs and meet our own record-keeping obligations.
  • Provide support, and communicate about service changes and security matters.
  • Diagnose problems and improve reliability and accuracy.

We do not sell personal information, and we do not share customer content with third parties for their own marketing.

Service providers

We rely on a small number of vendors to run the service, including cloud hosting and database infrastructure, document-processing and machine-learning services used to read uploaded documents, and transactional email delivery. These vendors process data on our instructions and under contractual confidentiality and security obligations.

We will share information outside those vendors only where we are legally required to, where necessary to protect our rights or the safety of others, or in connection with a merger or acquisition, in which case we will give notice before your information becomes subject to a different policy.

Data separation and security

Each customer organization’s data is isolated, and access is restricted to users that organization has authorized. Within an organization, access is further governed by the roles and permissions its administrators configure.

We encrypt data in transit and at rest, restrict internal access to what is needed to operate and support the service, and log administrative actions. No system is perfectly secure, and we do not claim otherwise; we will notify affected customers without undue delay if we become aware of a breach that affects their data.

Retention

We keep customer content for as long as the account is active, and for a limited period afterward so that an account can be recovered and so that we can meet legal and accounting obligations. Audit-log entries are retained longer than ordinary records, because their purpose is historical.

A customer may request deletion of their organization’s data by writing to info@fivante.com. We will delete or return data as requested, except where we are required to retain it.

Your choices

If your organization administers your account, direct requests to access, correct, export, or delete your information to your administrator first; we act on the instructions of the customer that controls the account.

You may also contact us directly at info@fivante.com and we will route the request appropriately. Depending on where you live, you may have additional rights over your personal information; tell us what you are asking for and we will respond.

Children

Fivante is a workplace tool and is not directed to children. We do not knowingly collect information from anyone under 16.

Changes to this policy

We may update this policy as the service changes. When we make a material change we will revise the “Last updated” date above and, where the change significantly affects how we handle customer content, notify account administrators.
